Your privacy matters to us

This Privacy Policy explains how Ultrabolds (“we”, “us” or “our”) collects, uses and protects personal information when you visit ultrabolds.co, chat with our website assistant, contact us, book a call or work with us.

We handle personal data in line with the Nigeria Data Protection Act 2023 and, where it applies to you, the EU and UK General Data Protection Regulation (GDPR).

1. Who we are

Ultrabolds is a design and development studio with a remote team. For the personal information described in this policy, we are the data controller, which means we decide how and why it is used. You can contact us about anything in this policy at hello@ultrabolds.co.

2. Information we collect

  • Information you give us: your name, email address, phone number, company and project details when you fill in our contact form, book a call, email us, message us on WhatsApp or share details with our website assistant.

  • Client information: billing details, contracts, invoices, and the files, logins and materials you share with us during a project.

  • Information collected automatically: basic usage data such as the pages you visit, your device and browser type, your approximate location based on your IP address, and the site that referred you.

We do not ask for sensitive information, such as health or financial account details, and we ask you not to send it to us.

3. How we use your information

We use your information to:

  • reply to enquiries and schedule calls

  • prepare proposals and deliver projects and subscriptions

  • send invoices and keep financial records

  • keep our website secure and improve it and our services

  • send occasional updates, with your consent; you can unsubscribe at any time

We do not sell your personal information, and we do not use it to make automated decisions that have legal or similarly significant effects on you.

5. Our website assistant

Ask Ultrabolds is an AI assistant on our website that answers questions about our services. Your messages are processed by an AI service provider to generate replies. Your conversation is saved in your browser only until you close the tab. We do not keep a stored history of your conversations on our side, and we do not use them to train AI models.

If you choose to share your name, email or project details in the chat so that we can follow up, the assistant sends them to our team by email, and we treat them like any other enquiry. Please do not share sensitive personal information in the chat.

6. Cookies and analytics

We keep cookies to a minimum. Our website uses a small number of strictly necessary cookies and similar technologies to keep it working and secure. Our website analytics are cookie-free and report visits in aggregate, so they are not used to identify you. Our booking calendar, provided by Calendly, may set its own cookies when you use it to book a call, and asks for your consent where required. We do not use advertising or tracking cookies. You can block or delete cookies at any time in your browser settings, although some parts of the site, such as booking a call, may not work as well. To show your local time in the site header, we look up your approximate city from your internet connection when you visit. It is shown only on your screen, is not stored by us, and is not used to identify you.

7. Sharing your information

We share personal information only with trusted service providers that help us run our business, and only as far as they need it. They include our website platform (Framer), scheduling (Calendly), messaging (WhatsApp), hosting (Cloudflare), and our email, file storage, AI, analytics and payment providers. They may only use your information to provide their services to us.

We may also share information where the law requires it, to protect our legal rights, or as part of a merger or sale of our business, in which case we will let you know.

8. International transfers

Our team works remotely across several countries, and some of our providers store data outside Nigeria, including in the United States and the European Union. When we transfer personal data abroad, we make sure it is protected by appropriate safeguards, such as standard contractual clauses or providers that meet recognised data protection standards, as the Nigeria Data Protection Act and the GDPR require.

9. How long we keep it

We keep enquiry details for up to 24 months if no project goes ahead. We keep client and project records while we work together and for up to six years afterwards, so that we can support you and deal with any questions or claims. We keep financial records for as long as tax and accounting laws require. After that, we delete or anonymise the data.

10. Your rights

Depending on where you live, you have the right to:

  • be told how we use your information

  • access a copy of the information we hold about you

  • have it corrected or deleted

  • restrict or object to how we use it

  • receive it in a portable format

  • withdraw your consent at any time

To make a request, email hello@ultrabolds.co. We will reply within one month and may ask you to confirm your identity first. If you are unhappy with how we handle your information, you can complain to the Nigeria Data Protection Commission or to the data protection authority where you live, but we would appreciate the chance to put things right first.

11. Keeping your information safe

We use reasonable technical and organisational measures to protect your information, including access controls and secure, reputable tools. No way of sending or storing data online is completely secure. If a data breach is likely to put your rights at risk, we will notify you and the relevant authority as the law requires.

12. Client data we handle for you

When we build or run websites, products or workflows for clients, we may handle personal data about their customers or users. In that case our client is the data controller and we act as their data processor. We use that data only on their instructions and to deliver the agreed work, keep it confidential and secure, and return or delete it when the work ends. We are happy to sign a data processing agreement on request.

13. Children

Our website and services are for businesses and are not directed at anyone under 18. We do not knowingly collect personal information from children. If you believe a child has sent us their information, contact us and we will delete it.

14. Changes and contact

We may update this policy from time to time. The latest version will always be on this page with its effective date, and if we make significant changes we will tell our clients directly. For any questions about your privacy, email us at hello@ultrabolds.co.
